Privacy Notice (KVKK)

As EFE ICE SYSTEMS MAKİNA SAN. TİC. LTD. ŞTİ. (“EFE Ice Systems” or the “Company”), we care about the security of your personal data. This notice has been prepared under Article 10 of Turkish Personal Data Protection Law No. 6698 (“KVKK”) to inform people who visit www.efeicesystems.com, who fill in our quote form or the lead form in our Google Ads advertisements, or who contact us by phone, email or WhatsApp.

2. Personal Data We Process

  • Identity and contact details: Full name, email address, mobile phone number.
  • Request details: What you write in the quote form or in your message, and the type of ice machine you are interested in.
  • Transaction security data: IP address, date and time of visit, pages visited, browser and device information, Google Ads click ID.
  • Cookie and usage data: Statistical data on site usage (Google Analytics).

3. Purposes of Processing

  • Receiving and assessing your quote and information requests and replying to you,
  • Carrying out sales, delivery, installation, warranty and service processes,
  • Keeping the website and our advertising secure, and detecting and blocking fraudulent or malicious ad clicks,
  • Measuring site usage and improving our services,
  • Meeting our legal obligations and the requests of competent authorities.

4. Collection Method and Legal Grounds

Your personal data is collected, partly or fully by automated means, through the quote form on the website, the lead form in our Google Ads advertisements, email, phone and WhatsApp correspondence, and cookies and server logs. Your data is processed on the following legal grounds set out in Article 5 of the KVKK:

  • Processing is directly related to the conclusion or performance of a contract (quote and sales processes),
  • Processing is necessary for the data controller to fulfil a legal obligation,
  • Processing is necessary for the data controller’s legitimate interests, provided that your fundamental rights and freedoms are not harmed (site and advertising security, IP logs),
  • Your explicit consent, for non-essential analytics cookies.

5. Transfer of Personal Data

Limited to the purposes above, your personal data may be transferred to the suppliers that provide our hosting and email services, to business partners providing shipping and installation services, to the people who provide us with accounting and legal advice, and, on request, to competent public authorities and institutions.

Google Analytics and Google Ads, which are used for site statistics and advertising measurement, and WhatsApp (Meta) services if you choose to write to us on WhatsApp, may process data on servers abroad. The lead form in our Google Ads advertisements is hosted by Google; the full name, email address and phone number you share in this form are passed to us through Google and may be processed on servers abroad. The Google Privacy Policy applies to Google’s own data processing practices. These transfers are carried out in accordance with the conditions set out in Article 9 of the KVKK.

6. Retention Periods

  • Quote and contact requests: 2 years from the conclusion of the request. If the request turns into a sale, for the statutory retention periods set by the relevant legislation.
  • Ad click IP logs: 90 days. They are deleted automatically at the end of this period.
  • Analytics cookie data: For the period set in the Google Analytics settings.

Data whose retention period has expired is deleted, destroyed or anonymised.

7. Your Rights Under the KVKK

Under Article 11 of the KVKK, you have the right to apply to our Company to:

  • Learn whether your personal data is being processed,
  • Request information about it if it has been processed,
  • Learn the purpose of processing and whether the data is used in line with that purpose,
  • Know the third parties in Türkiye or abroad to whom it has been transferred,
  • Request correction if it has been processed incompletely or incorrectly,
  • Request its deletion or destruction under the conditions in Article 7 of the KVKK,
  • Request that correction, deletion or destruction be notified to the third parties to whom the data was transferred,
  • Object to a result against you arising from analysis exclusively by automated systems,
  • Claim compensation if you suffer damage because of unlawful processing.

8. How to Apply

In accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller, you can send requests about your rights in writing to the address above together with information that identifies you, or by email to info@efeicesystems.com from the email address you have previously given us and that is registered in our system. Applications are concluded free of charge within 30 days at the latest.
